Policies & Procedures



  • A non-refundable fee of $30 per student is required yearly at time of registration. A $15.00 registration fee is required for each additional student per family.
  • Parent/Guardian/Student agrees to abide by the policies.
  • Every student is required to submit the Withdrawal Form by the 15th of the month when withdrawing from the VC.
  • Payment is due on the 1st of the month through Auto Pay Services (Debit/Credit Card, Checking/Savings Account).  
  • A $30 fee will be charged on all returned automatic payments.
  • Tuition is never prorated for missed lessons
  • Tuition does not include any retail teaching materials such as books, instruments, music, registrations fees for special events, or accompanist fees for recitals or adjudications. 
  • Retail teaching materials will be billed to the student’s account upon receipt of the materials.


  • Students taking classes pay the full fee in advance.
  • Students make a month-to-month commitment for the duration of the class (or remaining portion thereof).
  • The adult responsible for the student is obligated for the monthly payment whether or not student continues to come to the lessons or class.
  • Every student is required to submit the Withdrawal Form by the 15th of the month when withdrawing from the VC.
  • No refunds will be issued. Only the Director can consider written requests for release from this contract in the event of extenuating circumstances.
  • Tuition is not prorated for the last month’s lessons.
  • Students will be responsible for their last month’s tuition whether or not they attend lessons.


  • The VC operates year round and does not close for the summer.
  • A redeemable coupon is available for three (3) make-up lessons during the summer (after vacation but before Fall Semester).
  • Payment is still due on 1st of the month to reserve your lesson space.
  • Notify the VC before leaving to prevent awkward schedule gaps and wasted time in the teachers’ schedule.


  • Teachers are not obligated to make-up a lesson and/or class due to a student’s absence.
  • No refunds are given for missed lessons and/or classes.
  • Make-up lessons are not granted for school activities (programs, band trips, sport games, breaks, etc.) that differ from the VC Calendar.
  • Please notify the VC four hours prior to a lesson/class cancellation (256-534-3131) to prevent awkward schedule gaps and wasted time in the teachers’ schedule.
  • The VC will provide a substitute teacher if the regular teacher misses a lesson and/or class.
  • If a substitute is not available, a make-up lesson will be given to the student. No refunds will be given.
  • As a courtesy, each month the VC will provide a group make-up class for those students who missed their normal lesson time.
  • The student or parent/guardian must sign up for the make-up class by contacting the Office, not the instructor.


  • Monthly tuition is based on a 48-week year.
  • In the long months, you will receive five lessons
  • In short months such as November and December, you will receive three lessons
  • Most months you will receive four lessons.
  • Tuition is the SAME each month
  • The VC is closed four weeks for holidays.


  • Missed lessons will be made up at the end of the academic year (May).
  • No refund for lessons missed will be given.
  • Parents, legal guardians of minor students, and adult students waive the right to any legal action for any injury sustained (hearing loss/damage, etc.) on the property resulting from normal lesson activity before, during, or after the lesson
  • The VC is not responsible for any damage done to vehicles or items stolen from vehicles.


  • The VC is not responsible for providing before or after care for students.
  • Parents and/or guardians with children age eight or below must remain in the building lobby during the classes.
  • Students are not to be left at the VC for excessive time periods before or after their lessons.
  • Teachers or other VC staff are not allowed to drive, drop off, or walk students to or from the VC studio.
  • It is the responsibility of the parent or guardian to provide transportation to and from the studio for classes or lessons. 
  • Children or teens must wait inside the building for their parents/guardians to pick them up.
  • Parents/Guardians may not ask the student(s) to meet them elsewhere.
  • The VC assumes no responsibility for children who leave unaccompanied.

OPEN DOOR POLICY 9. Parents are encouraged to sit in on lessons or sit in the VC waiting area. We have an open door policy for lessons.

PHOTO/VIDEO RELEASE 11. The VC is hereby granted permission to take photographs, video, and/or audio of the students to use in brochures, websites, posters, advertisements and other promotional materials the VC creates. Permission is hereby also granted for the VC to copyright such photographs, video, and/or audio in its name.
